Mailroom
A mail room is where USPS, UPS, and FedEx parcels and packages are organized to be sent and received. A mail room is common in larger offices, residential buildings, non-profits, and schools. Many buildings and offices employ a mail room clerk to maintain organization for the incoming and outgoing mail. In the larger offices, a mail room can function as a core of the mail system. A mail room is often combined with copy rooms or break rooms, to save on space. Adding cubbyhole mail slots, can easily combine mail rooms and other common areas.
As with other technological advances, a mail-room has been digitized as well. A digital mail-room uses scanning and capturing to automate the mail. Paper and email can be organized in the same program allowing for a company wide standard. Storing digital copies of all parcels and packages eases distribution and storage. The archiving of mail and documents is required or requested by many companies.
Corporate accountability and compliance has brought about more requirements foe information backup, storage (digital and paper), and other compliance standards. Even with the newer, more efficient automation equipment, the demands are high. This leaves most mail rooms to use the more basic methods.
Copy Rooms Today
The copy room today has undergone many transformations; today this reserved space within the workplace still provides an ancillary role for an organization. But beyond the traditional – the copy room does play host to a number of new roles that range from; I.T. Space for Servers and Equipment to that of Break Out Space, Storage, Records Archive, and much more. In New York these functional rooms still can be found; and in some cases certain spaces may feature a more robust build-out with its traditional role in mind of its use.
Summary
As technology advances forward, new methods are being developed and implemented. The reliance on paper has decreased and document processing/capturing has risen. The mail-room and copy room has changed and evolved. The importance, however, remains consistent and functional in an office.
